How to set up online appointment booking for a small business

Online booking replaces the back-and-forth of "Are you free Tuesday?" with one link. Setting it up well takes one sitting.

List what people book

Write down each service with its length, for example "Consultation, 30 min" or "Haircut, 45 min". Keep names the way customers say them.

Set your hours and rules

  • Opening hours for each weekday, with breaks.
  • A buffer between appointments if you need time to clean up or write notes.
  • A minimum notice so nobody books ten minutes from now.
  • How far ahead people can book.
  • Time off for holidays.

Add your team

If several people take appointments, give each one their own hours and the services they do. Customers can pick a person or "anyone", and each person's calendar is protected from double bookings.

Ask what you need to know

Attach an intake form to services that need it, such as health questions for a massage or goals for a first personal training session.

Share the link everywhere

  1. Put the booking link in your Instagram bio and Google Business Profile.
  2. Save it as a quick reply in WhatsApp.
  3. Embed it on your website with one line of code, or add a "Book now" button.
